Terms and Conditions
1. Booking & Payments
• A 50% non-refundable deposit is required upon booking to secure your event date.
• The remaining balance is due 7 days prior to your event.
• Payment is accepted via bank transfer or Monzo payment link.
• Invoices can be issued upon request. Otherwise, payment confirmations are provided informally.
2. Cancellations & Rescheduling
• All deposits are non-refundable.
• Clients may reschedule their event with a minimum of 2 weeks’ notice, provided the new date is
available.
• Rescheduled bookings can be postponed up to 12 months from the original event date.
• If a new date cannot be agreed upon or the event is cancelled entirely, the 50% deposit is forfeited due
to advance stock purchase and preparation.
• In the unlikely event Balloons So Sweet must cancel due to unforeseen circumstances, bookings will
be rescheduled where possible. Each case will be reviewed individually.
3. Changes to Design or Colours
• Any design or date changes must be communicated no later than 2 weeks before the event.
• Colour scheme changes within this period may incur additional fees to cover replacement stock.
• Changes requested less than 2 weeks prior to the event may not be possible or may incur extra costs.
4. Setup & Access
• Venue access is required a minimum of 3 hours before the event (2 hours may be possible depending
on design).
• Props and hire items are collected the following day between 9am–12pm (or earlier if the venue
allows). Collection cannot be later than 12pm.
• Clients must arrange venue access for collection and provide a contact if they will not be present.
5. Props, Damage & Loss
• Clients and venues must not move, alter, or dismantle any setup after installation.
• Any damage, loss, or theft of props will be invoiced within 24 hours.
• Full replacement cost is payable for any prop that is damaged beyond reuse or lost.
• Marks or chips to sailboards incur a £70 damage fee.
• Artificial florals are included as part of the decor styling and must be returned in full. Missing or
damaged florals will be billed at their replacement cost.
6. Balloon Care & Longevity
• Balloon decor is sensitive to heat, sunlight, and outdoor conditions.
• Displays placed in direct sunlight or outdoors are at the client’s own risk and may not last the duration
of the event.
• Outdoor displays are not guaranteed beyond 24 hours.
• Displays purchased for longevity are crafted with care and advice will be given at time of booking as the condition cannot be guaranteed over time. Any modifications, repairs or adjustments requested more than 24 hours after installation will be subject to an additional fee.
7. Travel & Setup Fees
• A setup and takedown fee applies to all bookings and is based on travel distance.
• Events within Newcastle upon Tyne and surrounding areas are included in standard pricing.
• For locations over 45 minutes away, an increased travel charge per mile applies.
8. Photography & Social Media
• Balloons So Sweet may capture photos and videos of installations for portfolio and social media use.
• Personal client details or guests will never be featured without consent.
9. Liability & Insurance
• Balloons So Sweet holds full product and public liability insurance.
• The company is not liable for any injury, damage, or allergic reaction occurring once decor has been
installed.
• Once setup is complete, all responsibility for the display rests with the client and/or venue.
10. Force Majeure
• Balloons So Sweet is not liable for delays or cancellations caused by circumstances beyond control,
including severe weather, illness, venue issues, transport delays, or other emergencies.
• In such cases, a rescheduled date will be offered where possible. Refunds are not issued in these
circumstances.
